Job Responsibilities & Qualifications:

Primary Function: The primary purpose of this position is to assist in maintaining the resident charts and medical record system in compliance with federal, state and local requirements. Performs receptionist duties such as greeting visitors, answering central phone system, channeling incoming calls. Will assist on the floor as C.N.A. as needed. Performs clerical duties in support of the Nursing department to facilitate the flow of work in daily operations.

Job Duties and Responsibilities: Interact with internal and external customers / clients in a polite and professional manner.
Assure medical record information is protected and kept confidential.
Review MD orders for signatures, fax to pharmacy, review and ensure the orders are in the QuickMar system informs the hall nurse that the order is received. 
Assist MDS Coordinator with filling care plans. 
Assist with resident care as needed. 
Greets visitors, makes necessary notifications, assists as needed to facilitate contact with appropriate persons and directs to specified office.
Answers central phone system. Directs incoming calls, pages individuals, and takes/delivers messages as required.
Performs various clerical tasks in support of daily operations such as: filing, typing, making copies, assembling notebooks, prepping packages for mailing, etc.
Assists nursing staff by keeping forms organized at the nurse’s station, charts organized and documentation forms on the charts.
Monitors level of nursing office supplies and restock as needed.
Complies and types a variety of documents for the Nursing Department as requested.
Operates a variety of office equipment such as central phone systems, FAX, postage meter, copier, etc.
Maintains a neat and orderly work area.
Performs duties according to established safety procedures and Tribal Policy.
In the event of a local public health emergency, employee may be reassigned duties pertaining to the event.
Orders, receives and organizes medical supplies; regularly sends supply information to Billing.
Tracks supply use by residents.
Performs other duties as requested.

Education /Experience:
Completion of high school or equivalent.  At least one year of clerical experience preferred. Six to twelve months would be required to become proficient in most phases of the job. 

Must have and maintain a NC C.N.A. Certificate.
Valid NC driver’s license required.

Job Knowledge: Must have good verbal skills and effective communication skills.  Requires basic clerical skills including typing, filing, and the ability to maintain various records and files.  Requires the knowledge of the business use of computer hardware and software to ensure effectiveness and quality of the processing and presentation of data.  Requires skill in the use of a wide variety of office equipment including: computer, keyboard, calculator, facsimile, copy machine, and other office equipment as required. Must be able to develop thorough knowledge of the operation of the central phone system.  Must develop thorough knowledge of the TCC organizational structure, and personnel as well as their area of responsibility. Must develop thorough knowledge of the EBCI’s policies and procedures regarding visitors and service representatives.  Must be able to follow instructions and work independently.

Complexity of Duties: This position is responsible for assisting in maximizing the available resources to develop and maintain the Tsali Care Center that best meets the constantly changing needs of the community.  Must have the ability to interpret policy, laws and regulations in order to make decisions when a precedent isn’t available.  Duties require the application of sound judgement and problem solving skills in order to be effective.  Judgement often involves decisions that may have serious negative results.

Contact with Others: Interacts frequently with coworkers, hospital staff, and other health professionals for the purpose of exchanging information, obtaining, or providing assistance.  May serve on various program, community, and health committees, boards and advisory councils, as appropriate.  Tact, courtesy, and professional conduct are required to maintain positive working relationships.  Utmost sensitivity and confidentiality is required when dealing with co-workers, patients and families.

Confidential Data: All program information is considered highly confidential and strict adherence to all applicable EBCI confidentiality policies, procedures and guidelines as required, including but not limited to Indian Health Service regulations on Privacy, 42 CFR, HIPPA, Code of Conduct, and any applicable industry standards.  Improper handling of confidential information could result in damage to patient relations, professional reputation, and credibility of the program.  Hass access to Tsali Care Center records which are considered confidential and privileged.  

Mental /Visual /Physical Effort: Close attention to detail and mental concentration are required while preforming duties.  Is subject to frequent interruptions requiring varied responses, which can cause distractions.  Physical effort is required to perform the job including sitting, standing, walking, reaching with arms, bending, manual dexterity, visual acuity, and the ability to speak and hear.  Requires the analytical ability to evaluate theoretical as well as practical applications.  Requires the ability to abstract thoughts and switch rapidly to concentrate problem solving skills.  
Ability to lift 50 pounds and carry 5 pounds on a repetitive basis.  

Environment: Works majority of the time in an office environment, with potential, at times, of exposure to contagious disease and infection.  Must adhere to OSHA universal precautions to maintain a safe work environment.  May be required to work holidays, weekends, or other times when administrative leave is granted in order to ensure optimal patient care. 

Supervision Received: Works under the direct guidance of the RN Supervisor where goals, objectives, policies, and procedures are well defined. Works independently within applicable licensing regulations where latitude for creative thinking, initiative and discretion are given to achieve department goals and objectives.

Responsibility for Accuracy:
Most errors would be detected with proofing and reviewing procedures.  Failure to properly manage and direct activities could result in ill will for the department, delays in patient treatment, and possible negative patient and community relations.  Ineffective planning could have adverse effects on the health status of the community by limiting access to necessary resources.  Responsible for adherence to policy and procedure.  Inappropriate actions and inaccuracies in judgement could result in serious liability for the EBCI.
